The HPT Game (Latvia). This policy explains how we process personal data when you use our website or apply for the program.

This policy covers: (i) website visitors; (ii) applicants/requesters (invite or Insider Brief); (iii) accepted participants; and (iv) invoicing/contract counterparts.

What data we collect
• Application / Request data: name, email, position/company, country, your brief “why”, acknowledgements.
• Selection call: scheduling info, notes on fit/readiness/ethics (minimal, factual).
• Contract & invoicing: billing name, company legal name, VAT, billing address, payment confirmations.
• Communications: emails you send us and our replies.
• Website/technical: IP address, device/browser info, pages viewed; analytics and cookies only with consent (see Cookie Policy).

Legal bases for processing
• Pre-contract steps (GDPR Art. 6(1)(b)) to review fit, schedule a 15‑minute call, and decide on acceptance.
• Contract performance (Art. 6(1)(b)) to deliver the program for accepted participants.
• Legal obligations (Art. 6(1)(c)) for invoicing/tax/accounting under EU/Latvian law.
• Legitimate interests (Art. 6(1)(f)) to operate an invite-only program, maintain security, prevent misuse and protect confidentiality.
• Consent (Art. 6(1)(a)) for optional analytics/cookies and for any optional marketing communications.

How we use your data
• To evaluate fit and contact you about a private 15‑minute Zoom call.
• To manage selection, invoicing, logistics and on‑ground operations (after acceptance).
• To enforce privacy/no‑spoilers and safety standards.
• To run website security and measure aggregate usage (with consent for analytics).

Sharing and processors
We share data only with service providers acting on our instructions (hosting, email, calendar/meeting tools, payments/ accounting, CRM). We do not sell personal data.

International transfers
If data is transferred outside the EEA, we use Standard Contractual Clauses or other safeguards as required by GDPR.

Retention
• Accepted participants: contract/invoicing data retained per Latvian/EU law.
• Declined / waitlist: up to 12 months, then deletion (or sooner on request).
• Insider Brief requests: up to 6 months, then deletion.
• Website analytics/cookies: per Cookie Policy and your consent settings.

Your rights
You can request access, rectification, erasure, restriction, portability, or object to processing. Where we rely on consent, you can withdraw it anytime. You can also lodge a complaint with the Data State Inspectorate of Latvia (Datu valsts inspekcija).

Security
We use appropriate technical and organisational measures to protect personal data. No method is 100% secure; please contact us if you suspect misuse.

Children
The program is not intended for individuals under 18. We do not knowingly collect children’s data.

Changes
We may update this policy; changes will be posted here with a new “Last updated” date.
